Role Overview

Sodexo is seeking a Records Management Supervisor for our Pharmaceutical Client located in King of Prussia, PA.

 

The Record Management Supervisor is responsible for overseeing the organization, maintenance, and security of all company records—both physical and digital. This role ensures compliance with internal policies and external regulations related to records retention and data privacy. The supervisor leads a team of records management staff, assigns tasks, monitors workflows, and implements best practices for the efficient retrieval, storage, archiving, and disposal of records. The position also involves coordinating with departments to support operational needs and ensure accurate documentation handling across the organization. 

What You'll Do

  • Fulfils and records information requests in the most appropriate and secure medium.  Examples include loans of archived materials, including biological specimens, and preparation of photocopies or image files as appropriate.   
  • Maintains records of access to original documents to ensure return of materials loaned from the archive.  
  • Performs categorization (sorting to maintain easily tracked ‘warehouse’ of incoming materials) and data entry of incoming archive materials where necessary
  • Archives physical records within the local archive facility including slides, wax blocks and biological specimens stored in formalin where necessary.  
  • Performs document scanning operations as required, for materials received as hardcopy.  
  • Regularly checks temperature and humidity chart recorders, according to approved RMA procedures where applicable.
  • Accountability for interacting with 3rd party contractors to ensure secure, accurate hand-off/transfer of materials.  
  • Responds to customer requests via email, phone or walk-in.
  • Ensure training records are current per the client policies.   
  • Attend relevant job training (including relevant safety training) as determined by the client.
  • Supervises other supplier employee’s activities in providing operational archiving services to the client.

What You Bring

  • Records and archive experience highly desired.
  • Demonstrates good attention to detail. 
  • Demonstrates basic competency in desktop computing tools e.g. MS Office and other office machinery as appropriate. 
  • Demonstrates courteous, professional, and assertive communication skills – on the telephone, face-to-face and in writing. 
  • Demonstrates ability to advise / educate clients on basic archiving requirements.
