Role Overview

Sodexo is seeking an Occupancy Planning and Move Management Specialist to support our Life Sciences client in Rahway, New Jersey. In this role, you will play a key part in managing move request activity while partnering closely with our client and cross-functional teams. You’ll be responsible for meeting with business units to gather, review, and evaluate requests, providing data-driven insights on space occupancy and utilization, and guiding both internal and external stakeholders through the process. Additionally, you will oversee the physical execution of moves, ensuring smooth transitions and effective space management. This is a fully on site position.

What You'll Do

  • Coordinate move activities across spaces, buildings, and sites, ensuring smooth transitions and minimal disruption.
  • Partner with department managers and administrative staff to gather seating assignments, address move needs, and maintain accurate occupancy data.

  • Process move requests, develop migration plans, and conduct facility audits to verify readiness, data accuracy, and space availability.

  • Support workplace standards by overseeing furniture eligibility, coordinating repairs, and ensuring ADA compliance in collaboration with site leadership.

  • Work with internal teams (safety, facilities, community managers, CAD) and external vendors to deliver end-to-end move execution.

  • Track and update space data in IWMS systems, contributing to reporting accuracy and successful adoption of new technology platforms.

What You Bring

  • Bachelor’s Degree or equivalent experience, with 2–4 years in facilities, projects, or a related environment.
  • Experience in space/occupancy planning, with exposure to office or lab moves in a pharmaceutical setting highly desirable.

  • Excellent written and verbal communication skills, with the ability to clearly convey information across diverse teams.
  • Strong organizational and analytical skills, with the ability to manage competing priorities and adapt to changing business needs.

  • Working knowledge of architectural drawings, space planning concepts, and furniture standards.

  • Strong interpersonal skills and confidence in interacting with executive-level internal and external clients.

Qualifications & Requirements

Minimum Education Requirement - Bachelor’s Degree or equivalent experience

Minimum Management Experience - 5 years   

Minimum Functional Experience - 3 years of experience in program management or a related field
