Sodexo Facilities Solutions is seeking an experienced Senior Office Manager to support the Facilities Operations Department at OSS Health in York, PA. In this role, you will provide advanced administrative, operational, and project management support to the Facilities Director, Assistant Director, and other departmental leaders. You will play a key role in managing office operations, coordinating internal and external communications, tracking departmental initiatives, supporting regulatory documentation, and ensuring smooth and efficient workflow across the facilities team.

What You'll Do

  • Provide high-level administrative support to Facilities leadership, including calendar management, meeting coordination, and departmental communication.

  • Manage day-to-day office operations and serve as the central point of contact for internal and external inquiries.

  • Track key departmental projects, deliverables, and deadlines to ensure timely completion.

  • Assist with regulatory and compliance documentation, including preparation for audits, surveys, and inspections.

  • Coordinate departmental communications, including reports, presentations, and stakeholder updates.

  • Maintain records, contracts, maintenance documentation, and department files to ensure accuracy and accessibility.

  • Support budget tracking, invoice processing, and purchasing of supplies or services as needed.

  • Assist in onboarding documentation and administrative support for new hires or contractors.

  • Foster a collaborative and organized work environment to support department efficiency.

What You Bring

  • Proven experience in office management, executive support, or administrative leadership, preferably in healthcare or facilities operations.

  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.

  • Excellent verbal and written communication skills, with the ability to interact professionally with leadership, staff, and external partners.

  • High attention to detail and accuracy in managing documentation, scheduling, and departmental records.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project tracking tools or systems.

  • Ability to handle sensitive information with discretion and professionalism.

  • Strong problem-solving skills and a proactive mindset with a focus on efficiency and process improvement.

  • Customer service-oriented attitude with a collaborative approach to supporting team success.

Qualifications & Requirements

Minimum Education Requirement - Associate's Degree or equivalent experience

Minimum Management Experience - 2 years          

Minimum Functional Experience - 2 years experience in administrative support, or a related field
