Role Overview

Sodexo Energy and Resource is seeking a Permit Office Specialist to support one of our Oil & Gas clients in Houston, TX. The Permit Office Specialist is responsible for the day to day administration of the facility management’s permit to work process as outlined in procedures as well as facility maintenance. *This is a second shift role working the following hours: Tuesday - Thursday from 3 pm - 12 am; Friday from 12 pm - 9 pm; and Saturday from 8 am - 5 pm.  

What You'll Do

  • administration of the facility management’s permit to work process as outlined in procedures as well as facility maintenance
  • review of permit applications for completeness
  • act as liaison to the contractors, project managers, facilities team, and those required as outlined in procedures to facilitate permit applications, approvals, and for safety related matters
  • operations, maintenance, renovation and repair and all other mechanical systems in a facility.
  • assist in providing general customer support to resolve issues
  • assist in providing problem analysis and resolution, either via direct communication with the account or by informing the manager of issues that will require a more in depth effort

  • responsible for overseeing work order tickets in CMMS for services including, but not limited to electrical, HVAC, plumbing, fire safety equipment, security systems, and building hardware, soft services or other projects as needed

What You Bring

  • strong attention to detail when reviewing permit applications for completeness, accuracy, and required documentation—able to spot gaps early and drive timely corrections
  • safety-first mindset with the ability to coordinate approvals and communicate safety expectations, controls, and restrictions to ensure work is performed without incident
  • proven stakeholder management skills—able to act as an effective liaison between contractors, project managers, and facilities teams to facilitate PTW submissions, approvals, and safety alignment
  • solid understanding of facility mechanical systems and related operations/maintenance activities (e.g., building equipment, repairs, and renovation support) with the ability to coordinate resources and priorities across competing demands
  • customer-focused approach to providing responsive support, resolving routine facility issues efficiently while maintaining service quality and professionalism
  • clear, concise communicator (written and verbal) who can document work status, communicate permit requirements, and keep stakeholders informed on progress, risks, and next steps
  • comfortable escalating appropriately—recognizes when issues require manager involvement, additional expertise, or a more in-depth effort, and provides the right level of detail to accelerate resolution
  • experience managing and prioritizing work orders within a CMMS platform, ensuring timely completion across multiple building systems (electrical, HVAC, plumbing, fire/life safety, security, and general maintenance)
